Overview

Cal.com publishes your availability as a booking page. Visitors pick a time that suits them, and the meeting lands in your calendar automatically, with a video link if needed.

Main capabilities:

  • Event types such as “30-minute intro call” or “1-hour consultation”, each with its own length, location, questions, and rules.
  • Calendar connections so existing events block out busy times and new bookings are added to your calendar.
  • Availability schedules with working hours, date overrides, and time zones handled automatically.
  • Buffers, minimum notice, daily limits, and booking windows.
  • Team scheduling: round-robin (spread bookings across a team) and collective (everyone must be free).
  • Workflows for email reminders and follow-ups.
  • Routing forms that send visitors to the right person or event based on their answers.
  • Embeds for your website and a booking link for your email signature.

What it replaces

Cal.com replaces Calendly, Microsoft Bookings, Acuity Scheduling, and the scheduling part of Doodle.

Signing in

Open your Cal.com address and sign in with the account created for you. Complete the onboarding steps: your name, username (which becomes your booking link), time zone, and calendar connection.

Connect your calendar

  1. Go to Apps, then Calendar, or Settings, Calendars.
  2. Connect your calendar:
    • Nextcloud (or any CalDAV calendar): choose CalDAV and enter https://nextcloud.example.com/remote.php/dav with your username and a Nextcloud app password.
    • Google or Outlook: available if your administrator has set them up. These need extra configuration on the server.
  3. Choose which calendars to check for conflicts, and which calendar new bookings are added to.

Set your availability

Go to Availability. Edit the default schedule to set your working hours for each day, and add date overrides for holidays or special days. You can create several schedules (for example “Mornings only”) and pick one per event type.

Create an event type

  1. Go to Event Types and choose New.
  2. Give it a title, URL slug, and duration.
  3. Under Location, choose how you’ll meet: in person, phone, or a video link. To use Jitsi, install the Jitsi app from Apps and set your Jitsi server address.
  4. Under Limits, add buffer time, minimum notice, and booking limits.
  5. Under Advanced, add booking questions, require confirmation, or hide the event from your profile.
  6. Save, then copy the link. Your booking page is https://calcom.example.com/yourusername.

Manage bookings

Bookings shows upcoming, unconfirmed, past, and cancelled bookings. From here you can reschedule, cancel, or request a reschedule. Attendees get emails with links to reschedule or cancel too.

Add reminders with workflows

Go to Workflows, create a workflow, choose a trigger (for example “Before event starts, 24 hours”), and add an email action to attendees or hosts. Attach it to one or more event types.

Teams

Create a team under Teams and invite members. Team event types can be:

  • Round robin: the next available team member is assigned.
  • Collective: the booking needs everyone to be free.

Superpanel settings

  • Access: choose which groups are given a Cal.com account.
  • Calendar integrations: Google and Microsoft calendar connections need API credentials on the server. Ask Federated Computer support if you want them enabled.

Cal.com administrators can open Settings, Admin to manage users and instance-wide settings.
